Managing a Home You Cannot Visit
More and more executors live far from the estate they are settling. A daughter in Calgary, a son in London, a nephew in Hong Kong. The will names them, the house is in Toronto, and they cannot spend weeks on site. The good news is that the contents of a Toronto home can be handled carefully and transparently from anywhere.
Our executor services were built with remote executors in mind. This guide explains how the process works when you are not in the room.
The Remote Consultation
The consultation is free and takes about 90 minutes. If you cannot attend, a local family member, friend or your lawyer's representative can let us in while you join by video. We walk the home room by room on camera, note priority items and talk through your timeline, your lawyer's dates and your beneficiaries. You receive a written, itemized quote within 48 hours.
Approvals by Photo and Written Update
Decisions that would normally happen in person happen by photo. Keepsakes and notable items are photographed, shared with you, and approved or declined. You can forward photos to beneficiaries, who claim items for your final approval. Every decision is recorded.

Throughout the project, you receive written updates suited to your time zone: what was done, what was found, and what needs your decision.
| Decision | How it happens remotely |
|---|---|
| Which keepsakes to keep | Photo inventory, you approve |
| Who gets what | Beneficiaries claim by photo, you confirm in writing |
| What goes to auction | List of candidates with photos, you approve |
| Donation and disposal | Summary by category, you approve |
| Final handoff | Video walk-through or local representative |
Coordinating With Your Lawyer and Realtor
Remote executors depend on local professionals. With your authorization, we coordinate directly with your Ontario estate lawyer on dates, access and records, and with your realtor on the listing timeline and handoff. You stay copied, but you are no longer the only person passing messages between them.
Keepsake Shipping
Family items often need to travel. Approved keepsakes are packed with protective wrapping, crated where needed, and shipped to beneficiaries' addresses. Each shipment is recorded in the documentation package. Past keepsake shipments from our projects have reached Vancouver, Boston, London and Hong Kong. Our guide to keepsake shipping explains the process in detail.

The Thompson family
The Thompson family estate in Lawrence Park had heirs in London and Hong Kong. Keepsakes were coordinated remotely across three auction waves and a 6-week probate deadline, and the house was delivered broom-clean on day 42, 2 days ahead of the filing deadline.
Protecting a Home You Are Not Near
Remote executors also worry about the empty house. We can secure valuables and papers early, and after-hours response is available for secured property. Our plain white unmarked vans and crews in plain charcoal uniforms keep the work discreet, so the house does not advertise that it is empty.

Practical Tips for Remote Executors
- Name a local contact. A friend, neighbor or relative who can open the door for the consultation and handoff saves a trip.
- Agree on a decision deadline. Ask beneficiaries to claim items by a set date so the clearing is not held up.
- Use one communication channel. A single email thread with the crew lead, your lawyer and your realtor keeps everyone aligned.
- Plan for time zones. Tell us when you are reachable, and we will send updates you can answer the same day.
- Keep digital copies. Store the documentation package somewhere you and your lawyer can both access.
What You Receive at the End
When the house is cleared, the documentation package is sent to you digitally and in print, and with your authorization to your lawyer and accountant: inventory, beneficiary and shipping records, auction statements, donation receipts and disposal manifests. Keys go to your realtor or lawyer as you direct.
Settling an estate from far away is hard enough. The contents of the home should not require you to put your life on hold. With the right team and clear records, they do not.
