Estate Clearing Toronto gives usable contents a second life through Habitat for Humanity ReStore, Salvation Army, Toronto Goodwill and local community furniture banks. Items are sorted for each partner's needs after the family has reviewed sentimental pieces, delivered in unmarked vans, and recorded with receipts collected in the estate's name. Donation documentation and tax receipt filing are included on every job. As executor, you receive one organized set of receipts instead of a drawer full of loose paper.

What Is Estate Donation Coordination?

Most homes hold far more usable items than any family can keep: furniture, dishes, linens, coats, books, tools, lamps and small appliances. Donation coordination is the work of getting those items to charities that can use them, in a way that respects the family, satisfies the charities' rules and leaves the executor with clean records.

Done badly, donation turns into weekend trips with a borrowed van, items refused at the dock, and no receipts. Done well, it is one of the most meaningful parts of estate clearing. Families often tell us that knowing a parent's dining set went to a family furnishing a first home made the day easier.

What Our Donation Coordination Includes

Habitat for Humanity ReStore routing

Habitat for Humanity ReStore locations accept furniture, appliances, cabinetry, lighting, flooring and building materials in good condition, and sell them to fund housing. Estate homes with renovations, spare materials or quality furniture often send several loads here.

Salvation Army and Toronto Goodwill

Salvation Army donor centres and Toronto Goodwill accept clothing, housewares, books, small furniture and household goods. We sort, fold and box items to their standards so donations are accepted at the dock rather than turned away.

Community furniture banks

Community furniture banks, including Furniture Bank Toronto, provide furniture to families leaving shelters, newcomers and people rebuilding after a crisis. Beds, dressers, tables and sofas in good condition are especially valued.

Specialty charity routing

Some items need a specific home: medical and mobility equipment, books and records, musical instruments, eyeglasses, craft supplies, or tools. We route these where they will be accepted and used, and note the destination in the inventory.

Donation receipts clipped in an estate folder

Tax receipt collection and filing

Where a charity issues receipts, we request them in the estate's name and file them together with a summary of what went where. Policies differ between charities and item types, and we do not give tax advice. Your accountant decides how the receipts are used on the final estate tax return.

Donation records for the executor

Every donation run is recorded in the documentation package: date, partner, general contents and receipt reference. If a beneficiary later asks what happened to the patio furniture, the answer is on paper.

How Donation Fits Into an Estate Clearing

Donation always comes after two other steps. First, sentimental items are set aside for family review. Second, valuable items are identified for beneficiaries or MaxSold auction. Only then does the remaining usable contents go to donation partners. This order protects the family and the estate, and it is why we never donate on the first day.

What Can Be Donated, and Where

Executors often ask which items charities will actually accept. Standards vary by partner and location, and we confirm current requirements before each delivery, but these patterns hold for most Toronto estates:

ItemUsually accepted byNotes
Solid wood furniture in good conditionHabitat for Humanity ReStore, furniture banksClean, structurally sound, all parts present
Kitchen cabinets, doors, light fixturesHabitat for Humanity ReStoreOften from past renovations in the basement or garage

Beds, dressers, tables, sofasCommunity furniture banksEspecially valued for families setting up a home
Books, records, puzzlesSalvation Army, Goodwill, specialty charitiesComplete sets preferred
Mobility and medical equipmentSpecialty charities and loan programsRouted where accepted

Items that usually cannot be donated, such as mattresses, damaged upholstery, older cribs and hazardous materials, are recycled where possible or recorded as disposal.

Why donation comes after family review and auction

Donation is always the third stream, not the first. Family keepsakes and claimed items come out first, so nothing meaningful is given away by mistake. Auction candidates come out second, so value is not lost. Only then does the remaining usable contents go to charity partners. On a typical standard-tier estate, that means donation runs happen on the later days of the clearing, often to two or three different partners.

What families tell us

Donation is often the part of an estate clearing that families feel best about. A parent's dining set going to a family furnishing their first apartment, or a closet of winter coats going to people who need them, turns a hard week into something meaningful. In the Beaches, Patricia M.'s mother's home sent 8 truckloads to Habitat ReStore and Salvation Army, and Patricia later told us that knowing her mother's things would help other families made the hardest weeks easier.

Why Choose Us

Why Choose Estate Clearing Toronto for Donation Coordination?

Family-owned, Toronto-based and built for the paperwork and the people that come with an estate.

Included, never extra

Donation documentation and tax receipt filing are part of every job, not a line item added later.

The right partner for each item

Furniture, building materials, clothing and housewares go where they are accepted and needed.

Family review comes first

Nothing is donated until sentimental items have been set aside and the executor has approved the streams.

Receipts your accountant can use

Receipts are collected in the estate's name where charities issue them and filed in one place.

Less to landfill

Usable goods go to people who need them. Only what cannot be reused is recorded as disposal.

A word of caution: hauling-first crews make unnecesarry trips to the dump with antiques, photographs and papers a family would have wanted back. We identify auction candidates and keepsakes on day one, before anything leaves the home.

How It Works

How Does Donation Coordination Work? Our 5-Step Process

Patient, respectful and methodical. Every step is coordinated around the executor, the beneficiaries and the probate timeline, never around a crew's convenience.

  1. Step 1

    Confidential In-Home Consultation

We arrive in an unmarked vehicle for a free 90-minute consultation. Catherine Delacroix or a senior crew lead walks the home with you, reviews each room, notes priority heirlooms and confirms what you as executor need on paper.

  2. Step 2

Written Itemized Quote With 3 Scope Tiers

Within 48 hours you receive a written itemized quote with 3 scope tiers (partial, standard, premium) in a probate-court-suitable format, so your lawyer and beneficiaries can see exactly what is included.

  3. Step 3

Scheduling Around Executor and Beneficiary Availability

Clearing dates are set around your availability, your beneficiaries' travel plans and any probate or listing milestones your lawyer or realtor gives us.

Notice: Watch out for cleanout companies that charge an extra $400 to $800 for rush fees that should of been included in the original quote. Be aware.

  4. Step 4

    Multi-Day Room-by-Room Clearing

Our crew works through the home room by room at family pace. Catherine Delacroix personally walks the first day of every estate over $8,000 to ensure sentimental items are flagged and family wishes respected everytime.

  5. Step 5

    Broom-Clean Handoff With Documentation Package

You receive a broom-clean property and the documentation package: donation receipts, auction results and disposal manifests. Our crew is accomodating of real estate agent listing timelines.

What Families Say About Our Donation Coordination Work

Real projects, shared with permission. Names are shortened for privacy.

Hoarding and estate overlap: Patricia's mother passed with 20 years of accumulated belongings. Zero judgment, a dignified sort over 3 weeks, 8 truckloads of donations to Habitat ReStore and Salvation Army, and a broom-clean house ready for her brother's listing. Patricia sent us 4 referrals that fall.

Patricia M. the Beaches, Toronto

Margaret was downsizing her 86-year-old father from a 4-bedroom home to a Yorkville assisted living suite. We spent 11 days sorting with her father present, let him keep every photo album and the woodworking tools he refused to part with, and set up the new suite before he moved in. He slept in his own bed night one.

Margaret S. Forest Hill, Toronto

Richard called us in April after his mother passed. A previous crew had torn through grandmother's china cabinet without asking. We stopped mid-day one, called the daughter, catalogued every piece, and shipped keepsakes to beneficiaries in Vancouver and Boston before continuing. The auction brought in $14,200 that the other crew would of thrown out.

Questions

Donation Coordination Toronto FAQs

Direct answers about donation coordination toronto cost, timing, documentation and how we protect sentimental items.

What is included in your donation coordination service?

Donation coordination is included on every job: sorting donatable items after family review, routing them to Habitat for Humanity ReStore, Salvation Army, Toronto Goodwill or local community furniture banks, and collecting and filing receipts in the estate's name for your records.

Which Toronto charities do you donate estate items to?

We work with Habitat for Humanity ReStore, Salvation Army, Toronto Goodwill and local community furniture banks, and route specialty items such as medical equipment, books or building materials to organizations that accept them.

Will charities take worn or older furniture?

Condition matters. Each partner has its own standards, so we sort to match them. Items that are not accepted are recycled where possible or recorded as disposal.

Whose name is on the donation receipt?

Where a charity issues receipts, we ask for them in the estate's name and file them in your documentation package. We do not give tax advice: hand the receipts to your accountant.

Does donation coordination cost extra?

No. It is included in every estate clearing scope: $2,500 to $4,500 partial, $4,500 to $9,000 standard, $9,000 to $18,000 large, and $12,000 to $25,000 premium.

Can you handle hoarding and estate overlap situations?

Yes. Hoarding estates often produce large donation volumes. In the Beaches, 8 truckloads went to Habitat ReStore and Salvation Army over a 3-week sort under our Zero Judgment policy.

How do you coordinate with my probate lawyer and bank for documentation?

Donation receipts are part of the documentation package, delivered in a format your lawyer and bank can file and, with your authorization, sent to them directly.

Do you provide unmarked vehicles for discretion?

Yes. Donations travel in plain white vans with no exterior branding, at no extra cost.
