# Shipping Furniture and Keepsakes to Out-of-Town Beneficiaries

## When Heirs Live Far Away

Families are spread out. A Toronto estate may have beneficiaries in Vancouver, Boston, London or Hong Kong, and none of them can come to choose items in person. Getting a grandfather clock, a painting or a box of letters safely to them takes planning. It is a regular part of our

## Step 1: Photo Documentation for Approval

Each item a beneficiary might want is photographed clearly, with close-ups of any marks or damage. Photos are shared with the beneficiary, who confirms what they would like. The executor approves, and the decision is recorded. This prevents the costly mistake of shipping something across the world that the heir did not actually want.

## Step 2: Packing

Packing depends on the item:

## Step 3: Shipping Coordination

We coordinate shipping to the beneficiary's address. Small items often travel by courier. Larger pieces and furniture go by freight or specialist movers, especially for international destinations where customs paperwork is needed. We confirm options and costs with the executor before anything is booked.

## Step 4: Records

Every shipment is recorded in the documentation package: item, recipient, date, carrier and tracking where available. If a beneficiary or another family member later asks what was sent, the record answers it.

## Who Pays for Shipping?

Shipping costs depend on size, weight and destination, and are usually paid by the estate or the beneficiary as the executor decides. Confirm with your estate lawyer how these costs should be handled. We provide clear quotes and receipts.

## Questions to Settle Before Shipping

-   **Is the beneficiary sure they want it?** Photo approval prevents expensive mistakes.
-   **Who pays?** The executor decides whether shipping is an estate expense or paid by the beneficiary. Confirm with your lawyer.
-   **Is it worth the cost?** For low-value items, shipping can cost more than the item. A photo and a conversation help the family decide.
-   **Are there customs rules?** International shipments may need documentation, and some materials, such as certain woods or ivory, may be restricted.
-   **What about timing?** Shipping usually happens near the end of the clearing, so items are not moved twice.

## Packing That Survives the Journey

Long-distance shipping is hard on fragile items. China and glass are wrapped individually and boxed inside a second box with cushioning between the layers. Clocks have their pendulums and weights removed and packed separately. Mirrors and framed art travel in crates with corner protectors. Furniture is disassembled where possible, with hardware bagged and labelled for the beneficiary to reassemble. Each package is labelled with the recipient's name and the item list, and a copy of that list is kept for the executor.

## Local Deliveries Within the GTA

Not every beneficiary is far away. Many live elsewhere in the GTA, in Thornhill, Oakville, Markham or Mississauga. For local beneficiaries, items are wrapped and delivered directly by our crew in plain white unmarked vans, often in a single run at the end of the clearing. Furniture is placed in the room the recipient chooses, and delivery is recorded for the executor just like a shipment.
